Property & facilities management / Practical operating guide
Move from reactive firefighting to controlled service
Reactive work can consume the roster while preventive maintenance and contract commitments slip unnoticed.

Owner-led operating work
Six implementation steps. Four defined measures. A checklist you can use in your next leadership review.

Implementation sequence
Give each decision an owner.
01 / Facilities manager
Build an asset register with criticality, service contract, maintenance frequency and responsible supplier. Prioritise safety-critical obligations independently of commercial KPIs.
02 / Service desk lead
Define work-order priority and SLA clocks: acknowledgement, attendance and completion. Document customer-access pauses instead of silently removing late jobs.
03 / Planner
Reserve preventive-maintenance capacity before filling the roster with reactive calls. Check access, permits, parts and supplier readiness ahead of the visit.
04 / Contract manager
Review repeat faults and callbacks by asset and supplier; distinguish unresolved root causes from genuinely new failures.
05 / Finance lead
Reconcile labour, parts and subcontract costs to each contract. Flag out-of-scope work requiring approval and low-contribution accounts.
06 / Operations manager
Run a weekly overdue-and-risk review with the planner and contract leads. Delegate normal dispatch; escalate critical failures, repeated misses and scope disputes.
